Conference Room Policy
The Dorothy Haggen Building’s conference room is available for rental to Barkley Village tenants only – currently totaling more than 80 separate businesses. It is the only conference room we have available, and is intended for those occasional instances when a larger room is needed for a tenant’s business purposes.
There are approximately 40 chairs and 12 tables in the conference room, along with a projector, projection screen, sound system and a podium. A phone line is available; however you will need to bring your own phone (multi-line systems phone will not work). The phone number to the conference room line is 360-738-1626.
Internet access, both wired and wireless, is available during your use of the conference room.
The conference room’s magnetic locks are on a timer, which allows you, the tenant, to enter the conference room at the exact time of your reservation. Please remember that any time needed for set-up and breakdown should be included within your reserved timeslot. Reservations can be made 5 days up to 90 days in advance.
There will be a $5.00 surcharge for any time changes or new reservations received during the 5 day last minute booking period. The main north and south building entrances are timed to lock at 6:00 p.m. Monday through Friday. If your reservation extends past this time, you will still be able to exit through those doors, but entry is only available via the door closest to the conference room on the east side of the building. This door will automatically lock at the end time specified in your reservation.
Following are conference room usage, rates, and reservations policy bullet points:
● Conference room usage will be billed to the tenant at a rate of $15.00 per hour.
● Existing conference room users can login to their account on the Skedda online booking system and make or cancel reservations. New user reservation requests must be e-mailed to: info@talbotgroup.com so that we can set you up with a Skedda account,
● Reservations can be made online 5 days to 90 days in advance of your event.
● For reservations after the 5 day time limit, email info@talbotgroup.com . Included should be the date and both the beginning and ending times you will need the room. (Don’t forget to include set-up/break-down time.) A $5.00 surcharge will be added to the rental fee.
● Cancellations must be made online at least 24 hours in advance or you will be billed for the entire time reserved.
● Conference room usage is restricted to tenants and their business related purposes. Tenants may not profit from or charge for use of conference room.
● A phone line is available in the room for local calls only. You must provide your own phone.
● Reservations are on a first come, first served basis only.
● Responsibility for the conference room, during the time of use, remains with the tenant who made the reservation.
● Note: a $15 service fee may be added late bookings, schedule changes, or early access to room.
● Room should be left neat and tidy, with tables and chairs returned to their original locations.
● The Dorothy Haggen Building’s main north and south entrances will automatically lock at 6:00 p.m. Monday through Friday. Only the east entrance will be open past 6:00 p.m., and will lock promptly at the specified reservation end time.
The conference room is provided by the Talbot Group as a courtesy to our tenants. We reserve the right to update, cancel, or add bookings as necessary.
